Work Faster: Keyboard Shortcuts Every Business User Should Know

It can be frustrating to sit next to someone who flies through their work on Windows while you’re slowly clicking your way along. Chances are their speed comes down, in part, to knowing a handful of keyboard shortcuts and other little tricks. The good news? None of it is magic, and anyone can learn it. Spend a few minutes building the habit and you’ll be amazed how much smoother your day feels.

Below we’ve pulled together some of the most useful shortcuts to get you started. Over the coming months, we’ll keep sharing our engineers’ favorite shortcuts and tips—and yes, we’re throwing in some for our Mac users as well. Keep your eyes on this space.

A quick note: the original version of this post pointed to shortcuts for Windows 10. Since Windows 10 reached the end of its official support, most businesses have moved to Windows 11, so the shortcuts below are geared toward Windows 11. The happy part is that the vast majority of these worked in Windows 10 too, and many go back even further—so they’re worth learning no matter where you are in your upgrade journey.

Everyday Windows Shortcuts

These are the bread-and-butter shortcuts that pay off every single day. If you only learn a few things from this post, make it these:

  • Ctrl + C / Ctrl + V / Ctrl + X – Copy, paste, and cut. The classics, and still the most used shortcuts on the planet.
  • Ctrl + Z / Ctrl + Y – Undo and redo. Your safety net for those “oops” moments.
  • Ctrl + A – Select everything in the current window or document.
  • Ctrl + S – Save. Make this a reflex and you’ll never lose an hour of work to a crash again.
  • Ctrl + F – Find text on a page or in a document.
  • Alt + Tab – Switch between open windows. Hold Alt and keep tapping Tab to cycle through them.
  • Ctrl + W – Close the current tab or window.

Windows Key Tricks

The Windows key (the one with the logo) is genuinely underused. It unlocks some of the biggest time-savers in the whole system:

  • Win + D – Instantly show the desktop, then press again to bring everything back.
  • Win + L – Lock your screen. A simple security habit whenever you step away from your desk.
  • Win + E – Open File Explorer.
  • Win + arrow keys – Snap the current window to the left, right, top, or bottom of the screen. Brilliant for working in two windows side by side.
  • Win + Tab – Open Task View to see all your windows and virtual desktops at a glance.
  • Win + . (period) – Open the emoji and symbol picker. Surprisingly handy for everyday messages.
  • Win + Shift + S – Launch the snipping tool to grab a screenshot of any part of your screen.
  • Win + V – Open clipboard history, so you can paste something you copied a few items ago.

Handy Mac Shortcuts

We promised our Mac users we wouldn’t leave them out. The good news is the logic is nearly identical—just swap the Ctrl key for the Command (⌘) key in most cases:

  • ⌘ + C / ⌘ + V / ⌘ + X – Copy, paste, and cut.
  • ⌘ + Z / ⌘ + Shift + Z – Undo and redo.
  • ⌘ + A – Select all.
  • ⌘ + S – Save.
  • ⌘ + F – Find.
  • ⌘ + Tab – Switch between open apps.
  • ⌘ + Space – Open Spotlight to search your Mac and launch apps fast.
  • ⌘ + W / ⌘ + Q – Close a window / quit an app entirely.
  • ⌘ + Shift + 4 – Capture a selected portion of the screen.
  • Ctrl + ⌘ + Q – Lock your Mac when you step away.

A Few Tips to Make Them Stick

Learning shortcuts can feel like one more thing to remember, so here’s how to make it painless:

  • Pick three. Don’t try to memorize the whole list at once. Choose three shortcuts you’ll use most and focus only on those this week.
  • Cover your mouse. For an hour, challenge yourself to do as much as possible with the keyboard. It forces the new habits to form.
  • Stick a cheat sheet nearby. A small note by your monitor works wonders until the muscle memory kicks in.

The minutes you save here and there genuinely add up—across a whole team, over a whole year, it’s a meaningful boost in productivity, with the bonus of less repetitive strain on your wrist from all that clicking.
